Rugby Nova Scotia Administrative Assistant

 

Reporting to the Rugby Nova Scotia Board of Directors the Administrative Assistant will be accountable for the day to day operations of Rugby Nova Scotia and to assist with the development of their technical and high performance programs.  The successful candidate should be able to assist with the financial management of the organization and support each board member in their duties.

Skills/Knowledge 
  The Administrative Assistant should have good knowledge of sport/recreation management and strong organizational and interpersonal skills. He/She should have strong computer skills in Excel, MS-Word and be capable of maintaining a web page.  A degree in sports management is an asset.
 
Duties and Responsibilities 
  The duties and responsibilities of the Administrative Assistant of Rugby Nova Scotia involve, but are not limited to:

  • Liaising with the Board of Directors, Union Members, National and other Provincial Rugby unions.
  • Keeping abreast of all Rugby Canada Policy changes and updates and communicate them to the Board
  • Working with the Director of Marketing to assist with the website and RNS events
  • Maintaining the Rugby Nova Scotia website by completing the following:
    • Updates to the website on a minimum of a weekly basis of the results (i.e. scores) from all leagues games.
    • Writing updates and posting to the website on Union events and activities
    • Adding content prepared by others to the website.
  • Aiding in the financial management of the provincial programs and to assist team management where required.
  • Overseeing the administration of the Rugby Canada member registration system as it pertains to Rugby NS.
  • Working with the Director of Finance to ensure the member registration process is current and membership dues are invoiced and collected.
  • Working with the Directors of Internal Competition to finalize team and field availability for league fixtures. The Administrative Assistant acts as the primary contact for coordinating field bookings with the Halifax Regional Municipality for all fixtures in the area, as well as liaison with clubs/field contacts for games outside of the metro Halifax area.  
  • Assist in the preparation of government grant and funding applications.
  • Ensuring current information is maintained in the policy and procedure manual
  • Act as the main communication point between the Board, it's membership and any outside group or organization including HRM facilities booking and scheduling department.
  • Provides administrative support to the Rugby Nova Scotia Provincial Coach, Rugby Nova Scotia’s.
  • Participate in Sports Nova Scotia meetings, representing Rugby Nova Scotia, as required.

Remuneration

This is a permanent position offering 20 hours per week employment.

Hourly rate-- $15.00

Vacation – Three weeks paid vacation per year
